Getting Ready for Your New Resident

To ensure a smooth transition, we’ve outlined a few important next steps that will help us prepare your property for move-in. Completing these tasks promptly allows us to list and manage your home effectively, with resident satisfaction and legal compliance in mind.

1. Key Handover & Rekeying #

Please prepare to provide GPS Renting with:

  • Two copies of your front door entry keys
  • At least one mailbox key
  • Any garage remotes, gate fobs, or specialty keys

To ensure the safety of incoming residents and limit owner liability, all properties are rekeyed before move-in. If your locks have unique setups (e.g., keypad or smart locks), let us know so we can coordinate the correct setup.

✅ Pro Tip: Take a clear photo of your mailbox—especially if it’s in a shared or clustered unit—and send it to your GPS contact for reference.

2. Owner Portal Setup #

You will receive an email invitation to activate your GPS Renting Owner Portal. This secure online system allows you to:

  • View property activity
  • Access statements, leases, and maintenance records
  • Track rent disbursements
  • Download tax forms (e.g., 1099s)

We recommend setting this up right away so you can monitor your property anytime, from anywhere.

3. Utility Billing Setup #

Please update the mailing address on your water and sewer accounts so that GPS Renting receives the bills directly. This allows us to:

  • Monitor usage and billing patterns
  • Identify and act on late payments quickly
  • Pay bills on your behalf during vacancy periods (if needed)

Note: Residents will set up their electric and gas accounts directly in their own names.

4. Seattle Rental Registration (If Applicable) #

If your property is located within Seattle city limits, local law requires registration through the Rental Registration & Inspection Ordinance (RRIO).

5. Rental Insurance Requirements #

Please contact your current homeowner’s insurance provider to confirm that your policy includes rental property coverage.
We also ask that GPS Renting be listed as an additional insured party on the Certificate of Insurance.

Have your insurer email the certificate to:

6. HOA Information (If Applicable) #

If your property is part of a Homeowners Association, please send us:

  • A copy of the HOA’s CC&Rs (Covenants, Conditions & Restrictions)
  • Contact information for the HOA or property management company

You will continue paying your HOA dues directly to the association. If you need help locating your CC&Rs, let us know and we can guide you through the retrieval process.

Final Prep: Make the Property Move-In Ready #

Before we can list and show your home, please ensure the property is:

  • Fully vacant
  • Professionally cleaned
  • Free of personal belongings and clutter
  • Safe and rent-ready

This final step ensures that prospective tenants have the best first impression and allows us to begin marketing your home without delay.
